Bookkeeping for Small Businesses: How Often Is Enough?
Bookkeeping for small businesses in Adelaide, broken into a daily, weekly, quarterly and yearly routine, with the Payday Super and BAS dates owners miss.
Ask ten Adelaide business owners when they last reconciled their bank account and you'll get a few proud answers, a few vague ones, and at least one person who changes the subject. Bookkeeping for small businesses has a reputation for being dull, and that's fair. But most of the trouble doesn't come from doing it badly. It comes from doing it rarely.
So rather than another list of reasons your books matter, here's the routine sorted by how often each job needs doing. Whether you're a one-person operation in Elizabeth or a small team in Unley, the jobs are the same. Only the volume changes.
Daily, or close enough
Keep business and personal spending in separate bank accounts. That one habit removes half the work. Photograph receipts as you get them, using your software's app or a receipt tool, because thermal paper fades and the ATO expects you to keep records for five years.
Weekly
Once a week, set aside twenty minutes to reconcile the bank feed in Xero, MYOB or QuickBooks. Match each transaction to an invoice, bill or receipt and code it to the right account. This is the unglamorous core of bookkeeping for small businesses, and it's far easier with seven days of transactions than ninety. While you're in there, check who owes you money. Chasing a 30-day invoice is awkward. Chasing a 90-day one is often a lost cause.
Every pay run
If you have staff, this part has changed recently. Since 1 July 2026, Payday Super has required super contributions to reach each employee's fund within 7 business days of payday, rather than 28 days after the end of the quarter. The ATO's free Small Business Superannuation Clearing House closed on 30 June 2026, so if you relied on it, make sure you've moved to another SuperStream option. Super that used to be quarterly admin is now part of every pay cycle, and late contributions attract the super guarantee charge.
Every quarter
Once your turnover reaches $75,000, you must register for GST, and most small businesses then lodge a quarterly BAS. The October to December BAS is generally due on 28 February 2027. Lodging through a registered tax agent or BAS agent can give you extra time on some of the other quarters.
Before you lodge, run a profit and loss report and compare it with the same quarter last year. Ten minutes of side-by-side checking catches miscoded expenses and missing income better than any software rule.
Once a year
In June, count your stock if you carry any, write off debts that will never be paid, and check your asset register is current. Then hand clean books to your tax accountant. A return built on reconciled records takes less time to prepare, which usually means a smaller fee and fewer surprises later.
The people who end up reading your books
Your books aren't only for the ATO. Self-employed borrowers are usually asked for two years of tax returns plus current profit-and-loss figures, and lenders notice when the numbers don't line up. Even the best mortgage broker Adelaide has can only present your application as well as your records allow.
The same applies if you want to grow. Business advisors Adelaide owners turn to for cash-flow forecasting, pricing or a change of structure will start with your ledger. If it's months behind, the first few hours you pay for go on catching up rather than planning.
DIY, outsource, or split the difference?
Plenty of owners handle the weekly reconciliation themselves and pay a bookkeeper for payroll, BAS and a monthly review. That split suits many smaller operators. If you're losing Sunday nights to it, or quietly avoiding it altogether, that's usually the sign to hand more of it over. Anyone who lodges your BAS for a fee must be a registered BAS agent or tax agent, and you can check that on the Tax Practitioners Board register in a minute.
Quick ones
How long do I need to keep business records?
Generally five years from when you prepared or obtained them, or from when the transaction was completed, whichever is later. Clear, complete digital copies are fine.
Do I need bookkeeping software?
Not by law, but a spreadsheet gets painful once you're registered for GST or employ staff. Bank feeds alone save hours, and most Adelaide accountants work with Xero, MYOB or QuickBooks.
Has Payday Super changed my bookkeeping?
If you have employees, yes. Super now has to be paid with each pay run and reach the fund within seven business days, so payroll and super need to be processed together.
Can my bookkeeper lodge my BAS?
Only if they're a registered BAS agent or tax agent. An unregistered bookkeeper can keep your books but can't charge you to lodge BAS or give BAS advice.
Should I use cash or accrual accounting?
Businesses with aggregated turnover under $10 million can usually report GST on a cash basis, which is simpler to manage. Your accountant can tell you whether accrual would give a clearer picture of how the business is really travelling.
